Bookkeeper ≠ accountant or tax advisor
Bookkeepers record and organize financial transactions. Accountants and CPAs analyze them, prepare tax returns, and give tax and financial advice. As a VA bookkeeper, you stay within your scope and refer tax or legal questions to the client's accountant.
Clients value
- Accuracy and consistency
- Deadlines met every month
- Confidentiality
- Clear questions, not guesses
Never
- Give tax advice you're not qualified for
- "Force" a reconciliation to balance
- Move money without approval
- Share financial data carelessly
"Clean books, calm owners. Accuracy is the product you sell."
12 bookkeeping modules over 5 days

Accounting Foundations
The rules underneath every accounting software: the accounting equation, debits and credits, the chart of accounts, and your role as a bookkeeping VA.
1.1What bookkeepers do (and don't do)
| Bookkeeper | Accountant / CPA |
|---|---|
| Records daily transactions | Reviews and analyzes the books |
| Categorizes income and expenses | Makes adjusting entries and year-end entries |
| Reconciles bank and card accounts | Prepares and files tax returns |
| Manages invoices, bills and receipts | Gives tax, legal and financial advice |
| Prepares basic monthly reports | Audits and certifies statements |
Many bookkeeping VAs work for accounting firms or support a client's CPA, handling the day-to-day so the accountant can focus on review and tax.
1.2The accounting equation
Assets
What the business owns: cash, bank accounts, accounts receivable, inventory, equipment
Liabilities
What it owes: accounts payable, loans, credit cards, taxes payable
Equity
The owner's share: capital invested, retained earnings, and profit (revenue − expenses)
Every transaction keeps the equation in balance. If the business takes a ₱100,000 loan, cash (asset) goes up ₱100,000 and loans payable (liability) goes up ₱100,000.
1.3Debits & credits
Double-entry bookkeeping records every transaction in at least two accounts. Total debits always equal total credits.
| Account type | Increase with | Decrease with | Normal balance |
|---|---|---|---|
| Assets | Debit | Credit | Debit |
| Expenses | Debit | Credit | Debit |
| Liabilities | Debit | Credit | Credit |
| Equity | Debit | Credit | Credit |
| Revenue / income | Debit | Credit | Credit |
Dividends/Drawings, Expenses, Assets increase with debits. Liabilities, Equity, Revenue increase with credits. Practice on the Templates page quiz.
1.4Chart of accounts
The chart of accounts (COA) is the list of all accounts a business uses, grouped by type. A clean, consistent COA makes reports useful.
| Number range (example) | Type | Examples |
|---|---|---|
| 1000–1999 | Assets | Checking account, Petty cash, Accounts receivable, Inventory, Equipment |
| 2000–2999 | Liabilities | Accounts payable, Credit card, Loans payable, Taxes payable |
| 3000–3999 | Equity | Owner's capital, Owner's drawings, Retained earnings |
| 4000–4999 | Income | Sales, Service revenue, Shipping income |
| 5000–5999 | Cost of goods sold | Materials, Product cost, Merchant fees |
| 6000–7999 | Expenses | Rent, Utilities, Advertising, Software subscriptions, Salaries |
2.1Cash vs accrual; source documents
Cash basis
Record income when money is received and expenses when paid. Simple; common for small businesses.
Accrual basis
Record income when earned (invoice sent) and expenses when incurred (bill received). Shows true performance; required for many larger businesses.
Source documents prove each transaction: invoices, receipts, bills, bank and card statements, payroll reports, contracts. Rule: no document, no entry. Ask the client instead of guessing.
2.2The bookkeeping VA role, ethics & tools
Ethics & confidentiality
- Treat all financial data as confidential (sign NDAs)
- Use your own user login, never the owner's
- Never pay bills or move money without written approval
- Don't hide errors. Report and correct them.
- Stay within scope: refer tax and legal advice to the CPA
Tools
- Accounting: QuickBooks Online, Xero (also Wave, Zoho Books, FreshBooks)
- Receipts: Dext, Hubdoc, QuickBooks receipt capture
- Bills: Bill.com (BILL), Melio
- Payroll: Gusto, QuickBooks Payroll, ADP
- Spreadsheets: Excel, Google Sheets
- Secure sharing: password managers, secure client portals
Day 1 hands-on tasks
Debit/credit drill
30 minComplete the 15-question practice on the Templates page. Aim for 13/15, then retry the ones you missed.
Journal entries by hand
60 minIn Google Sheets, record 15 transactions for a practice café (owner investment, rent, sales, supplies, loan, utilities) as journal entries. Check that debits equal credits.
Build a chart of accounts
40 minCreate a numbered COA of 30–40 accounts for a service business, grouped by type.
QuickBooks Online & Xero
Set up and navigate the two most common cloud accounting platforms, connect bank feeds, and categorize transactions correctly.
3.1QuickBooks Online (QBO) essentials
- Practice: use the free QBO test drive (sample company) and, later, the free QuickBooks Online Accountant account
- Key areas: Dashboard, Banking/Transactions, Sales (invoices, customers), Expenses (bills, vendors), Reports, Chart of Accounts (Settings → Chart of accounts)
- Set up: company info, accounting method, fiscal year, chart of accounts, products and services, sales tax (if applicable)
- Users: the owner invites you as a user or accountant, so you never need their password
3.2Xero essentials
- Practice: the free Xero demo company (resets regularly)
- Key areas: Dashboard, Business (invoices, bills, purchase orders), Accounting (bank accounts, reports, chart of accounts), Contacts
- Bank reconciliation in Xero means matching bank feed lines to transactions, done daily or weekly
- Hubdoc (included with many Xero plans) captures receipts and bills
Learn one platform well first, then the other. The concepts are the same; only the buttons differ.
4.1Bank feeds & categorizing transactions
- Match when the transaction already exists (a paid invoice or bill). Don't add it twice.
- Categorize new transactions to the correct account with the right payee
- Transfers between the business's own accounts are transfers, not income or expenses
- Owner's personal spending through the business goes to Owner's Drawings, not an expense
- Loan payments: split principal (liability) and interest (expense)
- When unsure, put it in an "Ask My Accountant / Uncategorized" account and ask the client
4.2Bank rules & receipt capture
- Bank rules auto-categorize recurring transactions (e.g., "Globe Telecom" → Telephone & Internet)
- Review rules regularly. A wrong rule creates many wrong entries.
- Receipt capture (Dext, Hubdoc, QBO app): the client snaps receipts and you review, then publish and match them to bank lines
- Attach documents to transactions. It saves hours at audit or tax time.
Day 2 hands-on tasks
QBO sample company
90 min- Explore the test drive company
- Categorize 20 bank transactions
- Create 3 bank rules
- Add 5 accounts to the COA
Xero demo company
75 min- Reconcile 15 bank lines (match vs create)
- Record a transfer and an owner drawing
- Write down 5 differences between Xero and QBO
Sales, Purchases, AR & AP
Manage money coming in (invoices, payments, collections) and going out (bills, vendor payments, expenses).
5.1Invoicing & receiving payments (AR)
- Invoices need: customer, invoice number, date, due date, terms (Net 15/30), items, amounts, taxes
- Record payments against the invoice so it shows as paid. Don't just categorize the deposit as income, or income is doubled.
- Undeposited Funds / Payments to deposit (QBO) groups several payments into one bank deposit
- Credit notes and refunds for returns and adjustments
5.2Accounts receivable aging & collections
| Aging bucket | Action |
|---|---|
| Current (not yet due) | Nothing; maybe a friendly reminder before the due date |
| 1–30 days overdue | Polite reminder email with the invoice attached |
| 31–60 days | Second reminder; follow up by phone or message (with the owner's approval) |
| 61–90 days | Firm notice; the owner decides on next steps |
| 90+ days | Escalate; the owner or accountant decides on write-off or collections |
6.1Bills & accounts payable (AP)
- Check each bill for duplicates, the correct amount, and the correct vendor
- Run the AP aging report weekly and flag bills due soon
- Watch for early-payment discounts and late fees
- Keep vendor details (tax IDs, payment info) up to date and secure. Verify any change to bank details by phone, since it's a common fraud trick.
- US clients: vendors may need 1099 forms at year-end. Track contractor payments and let the CPA handle filing.
6.2Expenses, receipts & reimbursements
- Card and cash expenses: categorize and attach receipts
- Employee reimbursements: record the expense and the reimbursement payment
- Petty cash: keep a log and replenish with receipts
- Common categories: advertising, software and subscriptions, meals (tax rules vary), travel, office supplies, contractors, bank fees
Day 3 hands-on tasks
AR cycle
60 min- Create 5 customers and 8 invoices
- Receive 5 payments (1 partial)
- Run AR aging
- Write 2 reminder emails
AP cycle
60 min- Enter 8 bills from sample PDFs
- Pay 5 of them
- Run AP aging and list bills due this week
Receipt matching
30 minMatch 10 receipts to bank transactions and attach them. Flag 2 with missing receipts.
Reconciliation, Payroll & Month-End Close
Prove the books match the bank, support payroll, and close each month on time.
7.1Bank & credit card reconciliation
Reconciliation proves that the books match the bank or card statement for a period.
- Get the statement: ending date and ending balance
- In the software, start reconciling that account for that period
- Tick off each transaction that appears on the statement
- The difference must be 0.00
- Save the reconciliation report
If it doesn't balance
- Check the opening balance matches the last reconciliation
- Look for duplicates, missing transactions, wrong amounts (transposed digits: a difference divisible by 9)
- Check dates outside the period
- Check for reconciled items that were edited or deleted
Don't add a "balancing" adjustment just to reach zero. Find the cause, or document it and ask the accountant.
7.2Fixing common errors
| Error | Fix |
|---|---|
| Duplicate income (deposit categorized + invoice payment) | Match the deposit to the invoice payment; delete the duplicate |
| Transfer recorded as income or expense | Recategorize as a transfer between accounts |
| Personal expense in a business account | Move to Owner's Drawings (or ask the accountant) |
| Wrong category | Edit the transaction or reclassify, if the period is still open |
| Uncategorized items piling up | Send the client a list with dates and amounts to explain |
Don't edit transactions in closed or filed periods without the accountant's approval.
8.1Payroll support basics
- Payroll tools (Gusto, QuickBooks Payroll, ADP) calculate pay, deductions and taxes
- VA tasks: collect timesheets, update employee details (with approval), review payroll reports, record payroll journal entries if the payroll tool doesn't sync
- Payroll entry: debit wages and employer tax expenses; credit cash, plus liabilities for withholdings to be paid later
- Philippine employers: SSS, PhilHealth, Pag-IBIG and withholding tax apply. Follow the client's accountant and current government rates.
- Payroll data is highly sensitive. Handle it with extra care.
9.1Month-end close
A reliable close, done by the same day every month (e.g., the 10th), is what clients and accountants value most. Month-end checklist template.
9.2Sales tax, VAT & tax-time support (awareness)
- Some clients charge sales tax (US) or VAT/GST (other countries). The software tracks it, and the accountant advises on rates and filing.
- PH businesses deal with BIR requirements (VAT or percentage tax, withholding taxes, books of accounts). Follow the client's accountant.
- Your job at tax time: clean, reconciled books, organized documents, and fast answers to the accountant's questions
Day 4 hands-on tasks
Reconcile 2 accounts
75 minReconcile a checking account and a credit card for one month using the practice statements. Save the reports.
Find the errors
45 minThe trainer's practice file has 6 planted errors (duplicate, transfer, personal expense…). Find and fix them.
Month-end close
45 minRun the full month-end checklist on your practice company and write a short close summary.
Reports, Clean-ups & Your Bookkeeping Career
Read and explain the main reports, handle catch-up projects, and package your services.
10.1The three main financial statements
Profit & Loss (Income Statement)
Income − Cost of goods sold − Expenses = Net profit, for a period. "Did we make money?"
Balance Sheet
Assets, liabilities and equity at a point in time. "What do we own and owe?"
Cash Flow Statement
Cash in and out from operations, investing and financing. "Where did the cash go?"
Other useful reports: AR and AP aging, general ledger, trial balance, transaction lists, budget vs actual.
10.2Explaining numbers to owners
- Start with 3–5 plain-English bullet points: revenue, profit, cash, overdue invoices, unusual items
- Compare to last month and the same month last year
- Point out things that need attention: large unpaid invoices, rising expenses, low cash
- Don't give tax or investment advice. Suggest discussing it with their accountant.
11.1Catch-up & clean-up projects
Many clients are months (or years) behind. Catch-up work is a great entry point and often turns into monthly bookkeeping.
- Assess: which accounts and months, the last reconciled date, the state of the chart of accounts
- Collect statements and documents for every month
- Fix the COA; set up bank feeds and rules
- Categorize and match transactions month by month
- Reconcile every account, every month, in order
- List open questions for the owner or accountant
- Deliver reports plus a summary of what was fixed
12.1Certifications & portfolio
- QuickBooks Online Certified ProAdvisor: free through QuickBooks Online Accountant
- Xero Advisor Certification: free through Xero Central for partners
- Optional: bookkeeping courses (Coursera, Intuit Academy), Excel certifications
- Portfolio: journal entry sheet, COA, reconciliation report (practice data), month-end checklist, sample monthly report, SOP. Never use real client data.
12.2Packaging bookkeeping services
Monthly bookkeeping
Priced by transaction volume and accounts: categorize, reconcile, close, report
Catch-up / clean-up
Priced per month of backlog or per project
Add-ons
AR collections, bill pay support, payroll support, receipts management
Full client strategy on the Land Clients page.
Day 5 hands-on tasks
Monthly report
45 minRun the P&L, balance sheet and AR aging for your practice company. Write a 5-bullet summary for the owner.
Clean-up plan
45 minFrom a sample scenario (6 months behind, 2 bank accounts, 1 card), write a clean-up scope, timeline and document request.
Start certification
60 minSign up for QuickBooks Online Accountant or Xero Central and begin the free certification course.
Capstone: mock client month
90 minProcess a full sample month: categorize, match invoices and bills, reconcile, close, and present the report in 5 minutes.
Bookkeeping practice, templates & checklists
Drill debits and credits, then use the proposals, client emails, checklists, SOPs and spreadsheet formulas. Replace every [bracket]. Names and numbers in samples are fictional.
Debit & credit practice
Pick the correct journal entry for each transaction. You'll see the explanation right away.
How to land your first bookkeeping client
Bookkeeping clients hire for trust. Show you're accurate, confidential and consistent, start with a clear, small scope, and become the person who makes month-end painless.
Accuracy + Confidentiality + Consistency = Long-term bookkeeping clients
Bookkeeping is one of the most "sticky" VA services. Once a client trusts you with their books, they rarely switch.
Task talk
"I can categorize transactions and reconcile accounts in QuickBooks."
Result talk
"By the 10th of every month you'll know exactly how much you made, who owes you, and your books will be ready for your accountant. No more shoebox receipts."

Monthly fixed fee
Based on transactions per month and number of accounts. Predictable for clients.
Per project
Catch-ups priced per month of backlog; setups priced per company.
Add-ons

Rates depend on country, platform, certification and complexity. Check current posts for similar roles. Define scope clearly: number of accounts, transaction volume, deadline, and what's excluded (tax filing, advisory).
- Asks you to receive or transfer money through your own account
- Wants you to "adjust" numbers to show a different profit
- Asks you to file taxes or sign documents you're not qualified for
- Shares the owner's banking password and OTP instead of user access
- Sudden requests to change a vendor's bank details (a common fraud)
- Huge unpaid "test" using real client books
- Guessing categories instead of asking
- Forcing reconciliations to balance
- Categorizing deposits as income when invoices exist (double income)
- Recording transfers as income or expense
- Editing closed periods
- No documentation of questions and changes
