- Calm, friendly customer replies
- Following SOPs

E-commerce Foundations & Platforms
How online stores make money, the main selling platforms, and what e-commerce VAs are hired to do.
1.1E-commerce business models
| Model | How it works | VA tasks you'll see |
|---|---|---|
| Dropshipping | Store sells; supplier ships directly to the customer. No inventory held. | Product imports, order forwarding, tracking updates, supplier follow-up |
| Private label | Seller brands a product made by a manufacturer | Product research, supplier communication, listings, reviews |
| Wholesale | Buy existing brands in bulk and resell | Price and stock checks, listing matching, reorders |
| Print-on-demand | Designs printed only when ordered | Uploading designs, mockups, listings |
| Own brand / D2C | Brand sells its own products on its own site | Everything: store, support, email, social |
| Handmade / small shop | Makers and small local businesses | Listings, photos, orders, messages |
1.2Selling platforms
Own-store platforms
- Shopify: the most common store builder you'll work in
- WooCommerce: e-commerce on WordPress
- Others: BigCommerce, Wix, Squarespace
The brand owns the store, customers and data.
Marketplaces
- Amazon (Seller Central), eBay, Etsy, Walmart
- Shopee, Lazada, TikTok Shop (big in Southeast Asia)
Built-in traffic, but strict rules, fees and competition.
Learn Shopify first. It's widely used and has a free trial and free development stores for practice. Then add one marketplace that fits your target clients: Amazon for US sellers, Shopee or Lazada for PH sellers.
1.3How an online order flows
A VA can help at every stage: bring traffic (social, email), improve product pages, process orders, update tracking, answer questions, handle returns, and request reviews.
| Term | Meaning |
|---|---|
| SKU | Stock Keeping Unit: a unique code for each product variant (e.g., SHIRT-LIN-WHT-M) |
| Variant | A version of a product: size, color, material |
| COGS | Cost of goods sold: what the product costs the seller |
| AOV | Average order value: revenue ÷ number of orders |
| Conversion rate | Orders ÷ visitors × 100 |
| Fulfillment | Picking, packing and shipping orders |
| FBA / FBM | Amazon: Fulfilled by Amazon vs fulfilled by the merchant |
| 3PL | A third-party logistics warehouse that fulfills orders |
2.1E-commerce VA roles
| Role | Main tasks |
|---|---|
| Product listing VA | Uploading products, titles, descriptions, images, variants, bulk CSV imports |
| Customer service VA | Chat and email, order status, returns, refunds, reviews |
| Order & inventory VA | Order processing, stock tracking, supplier and courier coordination |
| Product research VA | Finding winning products, competitor analysis, supplier research |
| Shopify store VA | Collections, pages, apps, discounts, theme edits, store maintenance |
| Amazon VA | Seller Central listings, inventory, cases, reviews, reports, PPC support |
| E-commerce marketing VA | Social posts, email campaigns, promos, influencer outreach |
Product listing and customer service. Both are in constant demand, easy to show in a portfolio, and teach you how the whole store works.
2.2Your e-commerce toolkit
| Category | Tools |
|---|---|
| Store platforms | Shopify, WooCommerce, Amazon Seller Central, Shopee/Lazada Seller Center, TikTok Shop Seller Center, Etsy |
| Spreadsheets | Google Sheets, Excel: CSV imports, inventory, reports |
| Images | Canva, remove.bg, Photopea (free Photoshop-like editor) |
| Customer support | Gorgias, Zendesk, Shopify Inbox, Freshdesk, Messenger |
| Product research | Google Trends, marketplace best-seller lists, Jungle Scout, Helium 10 |
| Sourcing & dropshipping | Alibaba, CJdropshipping, DSers, local suppliers |
| Email & marketing | Klaviyo, Shopify Email, Mailchimp, Meta Business Suite |

- List 5 VA tasks each store probably needs
Set up your practice store
45 min- Start a Shopify free trial or a development store through a free Shopify Partner account

- Create a Google Sheet called "Practice Inventory"
Terms quiz
20 minIn pairs, explain SKU, variant, COGS, AOV, conversion rate, FBA and 3PL using an example store.
Product Research & Sourcing
Find products worth selling, check the competition, work out profit, and communicate professionally with suppliers.
3.1What makes a good product
Look for
- Steady or growing demand (Google Trends, best-seller lists)
- Solves a problem or has a clear passion audience
- Healthy margin after all costs
- Light, small and hard to break (cheaper shipping, fewer returns)
- Room to stand out: better photos, bundles, branding
Be careful with
- Fragile, heavy or oversized items
- Restricted categories: supplements, cosmetics, electronics may need approvals or certifications
- Trademarked or branded designs (IP infringement)
- Very seasonal or fad products
- Markets dominated by big brands
3.2Research methods & tools
- Marketplace best sellers: Amazon Best Sellers and Movers & Shakers, Shopee and Lazada top products, TikTok Shop trending items
- Google Trends: check 5 years of demand and seasonality
- Social: TikTok and Instagram hashtags, Facebook ad library (what brands are advertising)
- Tools: Jungle Scout, Helium 10 (Amazon); free trials help you practice
- Reviews mining: read 1–3 star reviews of competitors to find complaints you can solve
3.3Competitor analysis
- List the top 5 sellers of the product
- Compare price, title, photos, bullets, reviews, shipping speed and offers
- Find gaps: poor photos, missing sizes, slow shipping, unanswered questions, common complaints
- Summarize 3 ways your client's listing can win
4.1Pricing & profit basics
| Example | Amount |
|---|---|
| Selling price | ₱899 |
| Product cost (COGS) | −₱320 |
| Shipping & packaging | −₱110 |
| Platform & payment fees (example rate) | −₱90 |
| Ad cost per sale | −₱150 |
| Profit per unit | ₱229 (about 25%) |
Fees differ by platform, category and country, and they change. Always check the platform's current fee page or the client's actual reports.
4.2Sourcing & supplier communication
Where sellers source
- Alibaba and 1688 (manufacturers and wholesalers)
- Dropshipping suppliers: CJdropshipping, DSers/AliExpress, Spocket
- Local manufacturers and wholesalers (Divisoria, local makers)
- Trade shows and referrals
Vetting a supplier
- Years in business, verified status, reviews
- Response speed and clarity
- MOQ (minimum order quantity), unit price, lead time
- Order samples before bulk orders
- Clear written agreement on quality, packaging and delivery
Use simple, clear English with numbered questions. Confirm everything in writing: price, quantity, specs, deadline, payment terms. Never pay outside the platform's protected payment methods without the client's approval. Supplier email templates.
Day 2 hands-on tasks
Product research sheet
90 min- Research 15 products in one niche
- Fill in the research sheet columns
- Mine competitor reviews for complaints
- Recommend your top 3 with reasons
Portfolio piece #1.
Profit calculator + supplier inquiry
45 min- Build a profit calculator in Google Sheets
- Calculate margin for your top 3 products
- Write an inquiry email to a supplier using the template
Product Listings & Store Management
Write listings that sell and get found, prepare product images, and manage products in Shopify and on marketplaces.
5.1Anatomy of a product listing
| Part | Best practice |
|---|---|
| Title | Brand + product type + key feature + material/size/color + use. Follow the platform's style rules and length limits. |
| Images | Clean main image, multiple angles, in-use/lifestyle, size chart, close-up details, infographic with key benefits |
| Bullet points | 5 benefit-first bullets: benefit, then the feature that proves it |
| Description | Short story + who it's for + details, specs, care instructions, what's in the box |
| Variants | Correct sizes and colors, each with its own SKU, price, stock and image |
| Price | Correct price, compare-at price only if it's genuine |
| Keywords / tags | Search terms customers use (marketplace backend fields, Shopify tags, SEO title and description) |
Try the product listing builder at the top of the Templates page.
5.2Writing titles, bullets & descriptions
Weak
"Shirt White M NEW!!! BEST QUALITY Cheap"
Strong
"Kalye Men's Linen Button-Down Shirt – Breathable Short Sleeve, Relaxed Fit – White, Medium"
- Bullets: start each with a benefit in caps or bold: "STAYS COOL ALL DAY – 100% breathable linen…"
- Answer buyer questions before they ask: size, material, care, compatibility, what's included
- Use the words customers search for (check marketplace autocomplete)
- No false claims, no competitor brand names, no ALL CAPS titles, no "best/cheapest" (many platforms ban these)
Backend search terms (keep them within Amazon's byte limit and don't repeat title words), A+ Content for brand-registered sellers, and category style guides. Rules change, so check Seller Central Help before bulk edits.
5.3Product images
- Main image: marketplaces like Amazon require a pure white background, with the product filling most of the frame. Check each platform's rules.
- Use square images, at least 1000 px on the longest side so zoom works
- Consistent style across the store
- Tools: Canva (templates, infographics), remove.bg (background removal), Photopea
- File names and alt text that describe the product
6.1Managing products in Shopify
Daily Shopify tasks
- Add and edit products, variants, prices, inventory
- Organize collections (manual or automated by tags)
- Set up discounts and promos
- Edit pages: About, FAQ, Shipping, Returns, Contact
- Update navigation menus and the homepage banner
- Fill in the SEO title and meta description on product pages
Bulk work with CSV
- Export products → edit in Google Sheets → import
- Keep the
Handlecolumn the same to update existing products - Always export a backup before importing
- Test with 2–3 rows first
- Check for broken images and prices after import
6.2Marketplaces: Amazon, Shopee, Lazada, TikTok Shop
- Each seller center has its own listing forms, bulk templates, rules and fees. Read the platform's help center before editing.
- Keep product info consistent across channels (price, stock, specs)
- Watch shop health scores: late shipments, cancellations, chat response rate
- Join campaigns and vouchers only with the owner's approval
- Listing violations (prohibited items, IP claims, misleading info) can get products or shops suspended. When unsure, ask.
Day 3 hands-on tasks
Write 5 listings
75 min- Choose 5 products from your research
- Write title, 5 bullets and a description for each
- Add SKUs and variants
Portfolio piece #2.
Image set in Canva
45 min- Create a white-background main image (use remove.bg)
- Create one benefits infographic
- Create one size chart or lifestyle image
Shopify bulk upload
45 min- Add 5 products to your practice store
- Export the CSV, edit prices in Sheets, re-import
- Build 2 collections and a discount code
Orders, Inventory & Customer Service
Process orders correctly, keep stock accurate, and give customer service that earns 5-star reviews.
7.1Order processing workflow
- Check fraud signals: mismatched billing/shipping country, several failed payments, a rush order of high-value items. Flag to the owner, don't cancel on your own.
- Verify addresses. Incomplete addresses cause failed deliveries.
- For dropshipping, place the supplier order fast and copy the tracking number back to the store.
- Keep an "exceptions" list: delayed, lost, damaged, returned, and chase each one.
7.2Fulfillment models
| Model | Who ships | VA focus |
|---|---|---|
| Self-fulfilled | Owner or team packs and ships | Pick lists, booking couriers, tracking |
| 3PL warehouse | A logistics company | Sending orders, stock transfers, discrepancies |
| Amazon FBA | Amazon warehouses | Shipment plans, inventory levels, stranded or reimbursable inventory |
| Dropshipping | Supplier | Placing orders, tracking, supplier issues |
8.1Inventory management
Example: you sell 10 a day, the supplier takes 20 days, and you keep 60 extra as safety stock. Reorder when stock reaches 10 × 20 + 60 = 260 units.
- Track stock by SKU in the platform and a master Google Sheet
- Update all channels when stock changes to avoid overselling
- Flag low-stock and slow-moving items weekly
- Do regular stock counts and reconcile differences
9.1E-commerce customer service
The most common tickets
- "Where is my order?" (WISMO): the #1 question
- Size, fit or product questions before buying
- Change or cancel an order
- Wrong, damaged or missing item
- Returns, exchanges and refunds
- Discount code not working
Reply formula
- Greet by name and thank them
- Acknowledge the issue (and the feeling)
- Give the answer or solution clearly
- Say what happens next and when
- Friendly close
Reply fast (marketplaces measure chat response rate). Follow the store's refund and return policy exactly. Never promise what the policy doesn't allow without approval. Never argue with a customer or reply to reviews emotionally. Get 20+ customer service templates.
9.2Returns, refunds, reviews & disputes
- Returns: check the policy window and condition, issue a return label or instructions, then track the return and refund or exchange
- Refunds: only with approval or within your SOP's limits; log every refund with its reason
- Reviews: thank positive reviewers; reply to negative reviews calmly, apologize, offer help privately; never fake or buy reviews
- Chargebacks and disputes: gather order details, tracking, delivery proof and messages, and submit on time
Day 4 hands-on tasks
Inbox of 15 tickets
60 minThe trainer gives 15 sample customer messages. Tag each by type and priority and write replies using the formula. Peer-review tone.
Portfolio piece #3: 5 best replies.
Inventory tracker
45 min- Build an inventory sheet for 10 SKUs
- Add daily sales, lead time, safety stock and reorder point formulas
- Use conditional formatting to highlight low stock
Order SOP
30 minWrite a step-by-step SOP for processing and fulfilling a dropshipping or 3PL order, including exception handling.
Store Marketing, Reports & Your Career
Help stores sell more, report the numbers that matter, and turn your skills into e-commerce clients.
10.1E-commerce marketing basics
Email & SMS flows
- Welcome series for new subscribers
- Abandoned cart reminders
- Post-purchase thank-you, how-to-use and review request
- Win-back for past customers
- Tools: Klaviyo, Shopify Email, Mailchimp
Social & promotions
- Product posts, UGC reposts (with permission), short videos
- Sale calendar: 9.9, 10.10, 11.11, 12.12, Black Friday, holidays
- Influencer outreach and gifting lists
- Marketplace vouchers and campaigns (with approval)
10.2Ads support (the basics)
VAs often support ads rather than run strategy: pulling reports, adding negative keywords, pausing products that are out of stock, preparing creatives.
| Term | Meaning |
|---|---|
| ROAS | Return on ad spend = ad revenue ÷ ad spend |
| ACoS (Amazon) | Ad spend ÷ ad sales × 100 (lower is more efficient) |
| CTR | Clicks ÷ impressions × 100 |
| CPC | Cost per click |
11.1Store reports & KPIs
Revenue
Total sales for the period
Orders & AOV
Number of orders, average order value
Conversion rate
Orders ÷ sessions
Refund rate
Refunds ÷ orders
Also useful: top products, low stock, customer service volume and response time, review rating, and returning-customer rate. A weekly one-page report with 3 insights is worth more than a big dashboard nobody reads. Weekly store report template.
11.2Access, security & ethics
- Get your own staff account with limited permissions, never the owner's login
- Turn on two-factor authentication; don't share OTPs
- Customer data (names, addresses, phones) stays on the platform, not in personal files or public AI tools
- Never change prices, refunds or ads settings without approval or a written SOP
- No fake reviews, counterfeit products, or copied brand images
- Keep a change log for bulk edits
12.1Your e-commerce portfolio
- Product research sheet with recommendations (Day 2)
- 5 product listings, before/after where possible (Day 3)
- Product image set made in Canva (Day 3)
- Practice Shopify store link or screenshots (Day 3)
- Customer service reply samples (Day 4)
- Inventory tracker with formulas (Day 4)
- Order SOP (Day 4)
- Weekly store report sample (Day 5)
Label practice work honestly and never use a real brand's customer data.
12.2Packaging e-commerce services
Per project
Upload 50 products · rewrite 20 listings · set up a Shopify store · product research report
Monthly retainer
Customer service coverage · order and inventory management · listings and promos · weekly report

Fix the stage that's leaking
| If this happens… | Likely problem | What to fix |
|---|---|---|
| No replies to applications | Generic proposals, no proof | Mention their platform and store; attach 2 relevant samples; apply early |
| No replies to seller pitches | Too vague | Show one rewritten title or edited image from their shop |
| Fail practical tests | Accuracy or speed | Practice CSV uploads, typing and CS tone; double-check everything |
| Hired, then let go | Mistakes or slow replies | Use SOPs and checklists, ask when unsure, send daily updates |
- Asks you to sell counterfeit or copied branded items
- Wants fake reviews or fake orders ("brushing")
- Asks you to use your own bank account or ID to open seller accounts
- Asks you to buy inventory or tools with your own money
- "Task" jobs where you pay to unlock earnings
- Shares the owner's password and OTPs instead of a staff account
- Bulk-importing without a backup
- Wrong prices or stock after edits
- Promising refunds the policy doesn't allow
- Copying competitor descriptions or photos
- Slow replies during your shift
- Guessing instead of asking
- No portfolio or practice store
